QR Code Login for Field Technicians: No App, No Passwords

By Zaifee Rafiee, Founder, FieldSign.io · 3 October 2026

Job apps rarely fail on the job itself. They fail at the login screen. Here is how QR code access works, why it is safe when you set it up properly, and what to do when a phone goes missing.

Ask any service company why their last job app did not stick and you will hear the same story. Technicians forgot passwords, shared one login between three people, or quietly went back to paper because it was faster than the reset email. The login screen is where adoption dies.

QR code access removes that screen. Each technician gets a personal code; they scan it once with their phone camera and their jobs open. This article explains how it works and how to keep it secure.

How QR Code Access Works

  1. The office adds the technician in FieldSign.
  2. FieldSign issues that technician a personal QR code and link.
  3. The technician scans the code with the phone camera. There is no app store download and no password.
  4. Their assigned jobs open in the phone's browser.
  5. They can add it to the home screen, where it opens like an app under your company's name.

It works on iPhone and Android phones with any modern browser. Office staff still sign in to the dashboard with their own account; QR access is only for the technician app.

Is It Secure?

A technician's QR code is a key, so treat it like one. Give each technician their own code, send it privately, and never print it on a van or a shared notice board. What makes QR access safe in practice is that the office controls every key:

  • Pause: deactivate a technician and their access stops straight away; they are signed out on their next action.
  • Resume: reactivate them and the same code works again. The app reconnects by itself, with no rescan.
  • Replace: if a phone is lost or a code is shared, regenerate it. The old code and any old links stop working, and the technician gets a new one.
  • Remove: delete the technician when they leave the company.

Compare that with passwords. A shared password tends to stay shared, and nobody remembers to change it when someone leaves.

What Technicians See After Scanning

  • Today's jobs and upcoming jobs
  • Client, site address and job instructions
  • The service form for that type of job
  • Photo capture and the client signature pad
  • Job reminders as phone notifications, if they allow notifications
  • Buttons to send "I'll be late" with an arrival time (15, 30 or 60 minutes) or "Can't make it" with a reason

Passwords vs QR Codes: An Honest Comparison

Passwords

  • Familiar to everyone
  • Forgotten often, especially by technicians who log in a few times a week
  • Frequently shared between team members
  • Reset requests land on the office

QR Codes

  • Nothing to remember and nothing to type
  • One code per person, so every report is tied to a named technician
  • The code itself must be kept private
  • If one leaks, regenerating it takes a few seconds

Onboarding a New Technician

Create the technician, then share their code or link privately, over WhatsApp or email. They scan it, add the app to their home screen, and they are ready for their first job. There is nothing to install, so it works the same way on a brand-new phone or an old one.

At C-Vids Productions, our own service company, this is how our technicians sign in. Since 14 April 2026 they have closed out 77 signed service reports this way, without a single password.

Frequently Asked Questions

Does it work on iPhone and Android?

Yes. It runs in the phone's browser, so any reasonably recent iPhone or Android phone works.

Do technicians need mobile data?

Yes. FieldSign is an online app: it needs a data connection to load jobs and to submit reports. It does not store jobs offline.

Can two technicians share one phone?

One phone holds one technician's sign-in at a time. If a second technician scans their own code, the phone switches to them. For accurate records, each technician should use their own phone.

How many technicians can I add?

Up to 5 on Starter, up to 20 on Growth, and unlimited on Business. Technicians never need a paid seat of their own.
