Aircon Service Report Template: What Every Report Should Include

By Zaifee Rafiee, Founder, FieldSign.io · 3 October 2026

A good aircon service report settles arguments before they start. Here is the template we recommend, section by section, plus a copy-ready checklist and how to run it without paper.

In aircon servicing, the report is the only part of the job the client can keep. They did not watch you wash the coil or flush the drain pipe. When the unit starts leaking two months later, the first question is always the same: did you actually service it? A clear report with the unit details, what you found, photos and the client's signature answers that question in seconds.

This is the template we recommend for every aircon service report, whether you write it on paper, in a spreadsheet or in a job app. Copy the parts that fit your business and skip the rest.

Why the Report Matters as Much as the Service

  • It proves the visit happened, when it happened and which technician did it.
  • It records what you found, so a later breakdown is not blamed on your servicing.
  • It turns a completed job into an invoice the client cannot dispute.
  • It builds the history you need when a maintenance contract comes up for renewal.
  • It helps with warranty claims, where manufacturers often ask for proof of regular servicing.

The Template, Section by Section

1. Header

  • Your company name, logo, UEN and contact details
  • Report number (never reuse or skip numbers)
  • Date, time in and time out
  • Technician name or names

2. Client and Site

  • Client or company name
  • Contact person and phone number
  • Site address, including unit or floor
  • Reference for the job, such as a contract number or the client's PO number

3. Unit Details

Record each unit you touched. On a commercial site, the unit details are what let you answer "which one was that?" six months later.

  • Location label, such as "Bedroom 2", "Meeting Room 3" or "Server room"
  • Type: wall-mounted, ceiling cassette, ducted, multi-split or other
  • Brand, model and serial number
  • Capacity in BTU or kW, if known
  • Refrigerant type, if known

4. Type of Work

  • General servicing
  • Chemical wash
  • Chemical overhaul
  • Gas top-up
  • Repair or troubleshooting
  • Installation or replacement

5. Service Checklist

Give each item a status of OK, Not OK or Not applicable. A checklist with blanks tells the client nothing.

  • Air filters cleaned or replaced
  • Evaporator coil cleaned, with its condition noted
  • Blower wheel and fan checked
  • Drain pan and drain pipe flushed and clear
  • Condensate pump tested, if fitted
  • Outdoor condenser coil cleaned
  • Electrical connections and wiring checked
  • Remote control or thermostat tested
  • Unit tested after service and cooling confirmed
  • Readings taken, if your service includes them (for example refrigerant pressure or supply air temperature)

6. Findings and Recommendations

Write what you saw in plain words: a corroded coil, a noisy fan motor, water marks on the ceiling. If something needs follow-up work, say so on the report and mark it clearly. That one line protects you if the client ignores the advice and the unit fails.

7. Parts and Materials

  • Parts replaced, with quantities
  • Refrigerant added, if any
  • Any chargeable items, so the office can invoice without calling the technician

8. Photos

Before-and-after photos of the filter and coil, any defect you found, and the outdoor unit. Photos settle more arguments than paragraphs. Keep them with the report rather than in a technician's phone gallery.

9. Client Sign-Off

The printed name of the person signing, their signature, and the date and time. Show the client the completed report before they sign. A signature on a blank form proves very little.

Copy-Ready Checklist

If you only take one thing from this article, take this list:

  1. Company name, UEN, logo and contact details
  2. Report number, date, time in and time out
  3. Technician name
  4. Client name, contact person, phone number and site address
  5. Job reference (contract number or PO number)
  6. For each unit: location, type, brand, model and serial number
  7. Type of work done
  8. Checklist with OK / Not OK / Not applicable for every item
  9. Findings and recommendations, with follow-up marked clearly
  10. Parts and refrigerant used
  11. Before-and-after photos
  12. Client name, signature, date and time

Paper vs Digital Reports

Paper works until the carbon copy fades, the job sheet gets wet in the van, or the client says they never received a copy. A digital report keeps the photos with the checklist, captures the signature on the spot and reaches the client before your technician has packed up.

Digital also changes what the office does next. A signed report that arrives straight away can be invoiced the same day, instead of waiting for job sheets to come back at the end of the week.

How to Run This Template in FieldSign

In FieldSign you build the template once as a service type with your own fields: text, long text, numbers, dates, dropdowns and checkboxes, each of which can be made required. A sensible setup is one service type for general servicing, one for chemical washes and overhauls, and one for repairs, because each needs different checks.

Technicians open the job from their own QR code link. No app to install and no password. They fill in the checklist, add photos, and take the client's printed name and signature on their phone. The moment the report is submitted, the client is emailed a link to the branded report, which they can open on any device and save as a PDF.

If you keep a register of your clients' units, each report also builds that unit's service history. The unit register and maintenance schedules are part of the Asset Suite, which is included in the Growth and Business plans and in every 14-day trial.

Frequently Asked Questions

Do I need a separate report for each aircon unit?

Not always. For a home with several units, one report that lists each unit is common and easier for the client. For commercial contracts, unit-level records are worth the effort, because the client will ask about specific units later.

How long should I keep aircon service records?

At least for the length of the service contract and any warranty you give on your work. Digital records cost nothing to keep, so most companies simply keep everything.

Can the client sign on their own phone?

In FieldSign the client signs on the technician's phone at the end of the job, so the report is signed before your technician leaves the site.

Is an electronic signature on a service report valid in Singapore?

Singapore's Electronic Transactions Act recognises electronic signatures for most transactions. The exclusions cover things like wills, powers of attorney and trusts, and the sale or transfer of property; service reports are not among them. This is general information, not legal advice.
